Pre-starts
Signed before the machine moves.
The operator does the pre-start on his phone, standing at the machine, and signs it there. If a machine hasn't been checked you know at six in the morning, not on Thursday when somebody asks for the sheet.
The problem
The sheet gets signed. Then it disappears.
Not because anyone is cutting corners. Because a paper sheet in a ute has nowhere to go, and no way of telling you the day it never got filled in.
The folder in the ute
The sheets get done. Then they live behind the seat, and the day you actually need one is the day you cannot put your hand on it.
You find out afterwards
A machine goes out unchecked on Monday. Nobody knows until something happens or somebody audits the paperwork, and by then it is history.
A signature that proves nothing
A scribble on a page with no time on it, and no way to tie it to the machine or the person, is not a record. It is a piece of paper.

Open it at the machine
He opens the pre-start on his phone, walks the machine and works through the checks. No clipboard, and no folder in the ute.
Sign on the glass
The signature goes on the sheet right there, attached to him, the machine and the time. That is the part a scribble in a folder never had.
The office sees it land
Signed shows up signed. Unsigned stays loud until somebody deals with it, so a machine going out unchecked is not something you learn about later.
For the crew
Four checks and a signature. That is his morning.
It opens on the phone he already carries. He does the walk-around he was doing anyway, ticks it off and signs. It keeps working out of range and catches up when he is back in it.

Produce any sheet, from any day.
Kept, not filed
The sheet is kept the second it is signed. Nobody has to remember to file it, because there is nowhere else for it to go.
Searchable by machine or by day
Every pre-start on Excavator 12, or everything signed last Tuesday. That is a search, not an afternoon in the shed with a folder.

Who signed it, which machine, what time, and what they ticked. That is what makes it a record instead of a piece of paper.
